PhD Exchange Program TERMS & CONDITIONS
INSEAD and the Wharton School of the University of Pennsylvania have formed an alliance which
includes Faculty and student interchanges for their respective PhD programs.
Students registered in one of the two institutions can register and gain credit for courses taken at the
other institution after they have completed their first year of studies at the home institution.
Some financial support for travel and living expenses associated with an exchange visit may be available
to the visiting student through the INSEAD-Wharton Center for Global Research and Education see
Financial Support under Point 4 below.
The Alliance Center for Global Research and Education has extended its reach to INSEAD and Wharton
PhD's by making them eligible to join a faculty member from the partner school in order to constitute an

TERMS
1. ELIGIBILITY - students will be eligible to participate in the INSEAD-Wharton PhD Exchange only after
they have completed one full academic year in residence in a PhD degree program at their home
institution and passed their program’s qualifying examination.
2. DURATION - a minimum of one term of study and a maximum of one academic year will be
exceptionally permitted in the program. The operation of this program during the SUMMER sessions will
be at the discretion of the host and home institutions.
3. REGISTRATION STATUS Wharton-INSEAD PhD Exchange Students will be registered by the home
and host institution in whatever category (e.g. “in absentia”, “in residence”, “special student”, “Exchange
Scholar” ”dissertation abroad”) is appropriate at each place.
4. FINANCIAL SUPPORT Once a student receives a letter of invitation from the PhD program office for
host school, financial support may be available to the visiting student by submitting an Exchange Budget
Application. See below for more detailed information. Support may be for:
(1) travel (one roundtrip economy class airfare up to €1,600.00 for Singapore) No one-way
tickets are acceptable or approved.
(2) ground transportation to and from the airport for departure and return visit and
(3) housing. (INSEAD Fontainebleau residence or Fontainebleau housing €750 to €900 per
month) and provided through the INSEAD-Wharton Center for Global Research and Education. The same
approved amounts apply to Wharton visiting students. Budgets are strictly adhered to. See Number 3 of
FAQ’s for detailed information or the PhD Budget Application.

amounts. Housing awards are for housing/apartment monthly rental fees only and do not cover
any taxes, living expenses, meals, books, local travel, telephone charges covered by your stipend.

Submission of PhD Exchange Application-Authorization Form must be completed and approved prior to
the submission of the Exchange Budget Application. Acceptance to the Exchange Program is not a
guarantee of receiving funding from the Alliance Research Center.
All requirements must be met prior to the approval of any budget, including receipt of a scanned
copy of the applicant’s student visa.
* Wharton PhD students in years 1-5 will be charged the full tuition, and a reduced general fee. Wharton
PhD students in years 6-10 will be charged the reduced tuition rate and fees.
5. HEALTH AND HOSPITALIZATION COVERAGE - the institution which the student is visiting will be
responsible for assuring the hospitalization and health services are locally available. However, the
visiting PhD student must provide proof of Health Insurance coverage before they arrive at the host
institution.
6. HOUSING-the visiting student is responsible for securing housing while visiting the host institution.

7. BENEFITS at the institution visited, Wharton-INSEAD PhD students will be accorded all the benefits
of that institutions resident students. They will receive a Visiting student ID card which permits access to
the host institutions libraries, labs health facilities, athletic facilities. Where these services entail
additional fees, the host institution will charge the exchange PhD student the same fees it charges its own
graduate students. Students are required to have a health insurance coverage plan prior to their
arrival at the host institution.
8. INTERNATIONAL STUDENTS international students are understood to be under the continuing
sponsorship of their home institution. All visa work for them must be done through the international
student advisor at the host institution. PENN Global Scholar Services (ISSS). The INSEAD exchange
student must submit a copy of their visa electronically to Linda Kaelin at lkaelin@wharton.upenn.edu
prior to departure from the home school for verification that the INSEAD PhD exchange student
has obtained a student visa to visit Wharton. VISITOR VISAS ARE NOT ACCEPTABLE AS PART
OF THE ALLIANCE.
9. RECORDS - upon completion of each term, officials of the institution visited will collect the information
concerning the Exchange PhD students course of study and forward it (with appropriate stamps/seals
and signatures) to the PhD Program Office of the students home institution. Normally, this information
will include the course record (title, number, instructor, credit or class hours and grade received) and any
special research conducted under the auspices of a faculty member. The information may be made part
of the students academic record as appropriate to the home institution.
10. NOTIFICATION the home institution will be responsible for notifying third parties of the PhD
Exchange Students status and activities.
APPLICATION PROCEDURES AND APPROVAL
1. Any eligible Wharton or INSEAD PhD student should complete and submit the Wharton-INSEAD
PhD Student Exchange Application. Permission to participate in the program requires the
approval of all the officials listed on the form. ALL approvals must be obtained two months
before the registration date at the host institution. Each exchange is approved for up to
one year at a time.
2. When the application is approved, copies of the approved application form will be forwarded to
the student and the coordinating official of the students home institution and host institution. A
letter of invitation from the PhD Dean of the host program will be included with the approved
application form and the faculty sponsor at each school will be copied.
3. The home institution shall inform the host institution prior to the visit of the approved list of
courses for credit. In the event of a change (drop), the host institution will inform the home
institution.
4. The INSEAD PhD exchange student will submit an electronic copy of their visa to Linda Kaelin at
[email protected]enn.edu prior to their departure from INSEAD verifying that they ave obtained
a student visa.
5. At the completion of the program of study, the PhD Coordinating official will arrange for the
forwarding of the students academic record to the coordinating official at the students home
institution.

7. If budgetary assistance is required, a completed request form must be submitted and approved
only after an official letter of invitation has been received by the exchange student. See
Exchange Budget Application. All budgets and documented guidelines and conditions will
be strictly adhered to. Detailed instructions about the budget will be supplied to the
applicant in their award letter from the Wharton Alliance Manager.
